The numbers matter. Understanding them matters more.
Most contractors receive financial statements every month. Some look at the bottom line, some check the bank balance, and then it's back to running the business.
The problem is that financial statements aren't just meant to tell you what happened last month. They're one of the best tools you have for spotting trends, asking better questions, and making better decisions before small issues become bigger ones.
A monthly financial review doesn't have to take hours. It just needs to become part of your routine.
Monthly Financial Reviews: Looking Beyond the Numbers
Look for Trends, Not Just Numbers
A single month's financial statements only tell part of the story. The real value comes from comparing where you are today to where you were last month, last quarter, or even this time last year.
Did gross profit improve? Has cash started to tighten? Are receivables taking longer to collect? Is working capital moving in the right direction?
Looking at trends helps you understand whether a change is part of normal business or something that deserves a closer look.
Ask Questions When Something Changes
One of the biggest mistakes contractors make is assuming the numbers speak for themselves.
If cash is down, ask why.
If margins changed, ask what happened.
If overhead increased, ask whether it's supporting growth or simply adding cost.
Your financial statements won't answer every question, but they will usually point you toward the conversations that matter.
Put the Whole Picture Together
No single report tells the whole story.
Your income statement, balance sheet, cash flow statement, WIP schedule, and working capital each provide a different piece of the puzzle. Looking at them together gives you a much better understanding of how the business is performing.
A good monthly financial review isn't about focusing on one number. It's about stepping back, looking at the complete picture, and asking whether everything still makes sense.
Make Your Review Consistent
The goal isn't to explain every change in a single meeting. It's to consistently ask the same questions month after month.
- What's different?
- Why did it change?
- Is it expected?
- Does anyone on the team need to take action?
A consistent review process won't eliminate surprises, but it can help you identify them earlier and make better decisions before they become bigger problems.
AI Prompt for Contractors
An example of how AI tools can support internal financial review.
“Review this month's financial statements alongside the previous three months. Summarize trends in revenue, gross profit, cash flow, working capital, accounts receivable, and project profitability. Identify any significant changes, explain what may have caused them, and suggest questions management should discuss during this month's financial review.”
Used thoughtfully, prompts like this can help identify trends that might otherwise be overlooked during routine project reviews.
