**A cost report shouldn't just tell you what happened. It should help you understand where the job is going.**

Most contractors know whether a job is making or losing money. The harder question is understanding what's driving that performance before the job is finished.

That's where a good cost report review becomes valuable.

Reviewing job costs consistently throughout the project gives you an opportunity to catch budget variances, question unexpected costs, update projections, and identify problems while there's still time to do something about them.

## **Cost Report Reviews: Finding Problems Before They Grow**

**Review It Every Month**

A cost report shouldn't be something you pull out only when a project starts going sideways.

Reviewing it monthly gives you a chance to compare actual results against your forecast and determine whether the job is still performing the way you expected.

Are certain expenses increasing faster than the revenue coming in? Are costs showing up where you didn't expect them? Has the projected cost of the job changed?

Regular reviews can also catch something much simpler: bad data. A manual entry mistake or cost coded to the wrong place can create a variance that looks like a project problem when it's really an accounting problem.

Finding those issues monthly also makes year-end easier. Instead of trying to explain months of accumulated variances at once, you've been reviewing and addressing them throughout the year.

**Pay Attention to What Changed**

Looking at the current numbers is important, but comparing them to what you expected can tell you much more.

If a cost is running higher than budget, what changed? If expenses are increasing faster than revenue, is that consistent with the current stage of the job or is something starting to slip? If the projected profit has changed since last month, what caused it?

Not every variance means there's a problem. Projects change, timing changes, and estimates get updated as better information becomes available.

The important part is knowing why the numbers changed instead of simply accepting the new result.

**Look Forward, Not Just Backward**

Cost reports show you what's already happened, but the review shouldn't stop there.

What you know today should help you make a better projection of what the job will ultimately cost. If something has changed, the forecast should change with it.

That means asking whether the remaining costs still make sense based on the work left to complete. It also means looking at what you've already committed to spend, not just the invoices that have hit the job so far.

The earlier you recognize that the original expectation is no longer realistic, the more time you have to understand the impact and make decisions around it.

**Keep the Projection Current**

A monthly cost report review isn't about explaining every small movement in the numbers. It's about making sure the financial picture of the job still reflects what's actually happening.

When something doesn't line up, talk to the project team. Understand what's changed, determine whether the projection needs to be updated, and carry that information into the next review.

Doing that consistently gives you a better picture of project performance throughout the year, helps you stay ahead of potential cash flow issues, and leaves fewer surprises to sort through at year-end.

The goal isn't simply to explain what you've spent. It's to use what you know today to build a better picture of where the project is going.

**AI Prompt for Contractors**

“Review my current project cost report and compare actual results to the current budget and forecast. Identify significant variances, unusual changes from prior periods, and expenses that appear to be increasing faster than expected. Highlight areas where the current projection may need to be updated and provide questions management should discuss with the project team to better understand what changed.”
